Copler Learning Systems Private Limited, operating under the brand COPLER (“we”, “us” or “our”), respects your privacy. This policy explains how we handle personal information when you use clsystems.in, contact us, register for a programme or use a COPLER service.

  • Your name, email address, mobile number and information you provide in an enquiry or registration.

  • Your selected programme, attendance details, payment status and transaction reference.

  • Information you choose to share during a workshop, assessment or coaching service. Where relevant, this may include your career interests, assessment responses, development goals or personal reflections.

  • Basic technical information generated when you use our website, such as device, browser and usage information made available through our hosting or website tools.

Please share only information relevant to the service. Avoid sending sensitive personal details through an ordinary website enquiry unless we have specifically requested them through an appropriate channel.

2. How we use your information

We use personal information to:

  • Respond to enquiries and explain relevant services.

  • Process registrations and confirm bookings.

  • Send venue details, online joining links, service updates and other essential communications.

  • Deliver programmes, assessments and coaching, including reports or development guidance where these form part of the service.

  • Handle payments, refunds, support requests and business records.

  • Maintain and improve our website and services.

  • Send promotional communications where you have separately chosen to receive them. You can ask us to stop these messages at any time.

We will not treat a payment or a workshop registration, by itself, as consent to receive unrelated marketing.

3. Payments

Payments may be handled through providers such as Razorpay or Cashfree, where enabled. You enter payment details on the provider’s checkout. COPLER receives information needed to confirm and administer the transaction, such as its status, amount and reference. The payment provider also handles information under its own privacy terms.

If you have a payment concern, send us the transaction reference. Do not send us your full card number, PIN or OTP.

4. Assessments and participant information

If you take part in a COPLER assessment or development programme, we use the responses and information you provide to deliver that service and, where applicable, prepare feedback or reports. We will explain any additional information requested for a particular service before collecting it.

Please respect other participants’ privacy. Information shared by someone else in a group session should not be recorded, published or passed on without their permission.

5. Children and young participants

Some COPLER services may be intended for young people. If a participant is under 18, a parent or legal guardian must approve their registration and participation. We may request information needed to confirm that approval and to administer the service.

6. When we share information

We share information only as needed to operate the business and deliver services. This may include website hosting providers, payment processors, email or messaging providers, facilitators working with COPLER, and organisations arranging a programme for their participants where the relevant sharing has been explained.

We may also disclose information when required by law or to address a payment dispute, security issue or legal claim. We do not sell participant personal information.

Service providers may process information using systems located in different places. We take account of applicable requirements when selecting providers and sharing information with them.

7. How long we keep information

We keep personal information for as long as reasonably needed to provide the service, respond to requests, maintain necessary business or payment records, and meet applicable legal obligations. We then delete it or remove identifying details when it is no longer needed, subject to records we must retain.

8. Your choices and requests

You may contact us to ask what personal information we hold about you, request a correction, raise a concern, or request deletion where applicable. You may also withdraw consent for optional communications.
